It will hereafter be referred to as (shortened name of organization as it will appear throughout the constitution). The (shortened name) is a recognized organization of app. Section B: Affiliation If the club is a member of a national or state organization, add the following statement and attach a copy of the national constitution as it will become part of this document: The (shortened name) may be a chapter/member of (National Organization) but is recognized as an independent student organization at app. The rules and regulations of the (National Organization) shall be followed when not inconsistent with the rules and regulations of app. If the affiliation with (National Organization) is severed for any reason the organization may continue as a fully recognized student organization at app. Article II Purpose The purpose of this organization shall be to (insert your purpose, which should be a brief description of your intent and goals as an organization). Article III Membership Section A: General Membership (Shortened name of organization) is open to all students at app. Section B: Voting Members State in complete sentences the qualifications for Voting membership in the organization. Usually, voting/active membership is defined by the number of meetings that a general member needs to attend to gain voting rights Article IV Executive Board Section A: Executive Board The governing body of (shortened name of organization) shall be known as the Executive Board. The Executive Board shall consist of up to five Executive Officers, which include a President, Vice President, Secretary, Treasurer, and a Public Relations Officer. Section B: Officer Eligibility (List any and all requirements to be an officer) ie: At the time of appointment, an officer must have been a voting member for at least one prior semester. Section C: Powers and Duties of the Officers The President shall: Oversee the total operations of the organization. Preside over every meeting. Serve as an ex-officio member of all sub committees. Attend all required Senate Committee or Full Meetings or send an executive board member. Vote only in the event of a tie. Attend all required workshops and leadership trainings. The Vice President shall: Assist in the total operation of the organization as directed by the President. Generate all agenda items and report them to the President. Report directly to the President. Preside in the absence of the President. The Secretary shall: a. Keep a roster of all voting members. b. Coordinate information to and from the Executive Board. c. Issue notices of meetings and conduct the general correspondence of the club d. Keep a record of minutes and provide copies to all members and Senate upon request. e. Report directly to the President. f. In the event of a vacancy of the Public Relations Officer, the Secretary shall take on those duties. The Treasurer shall: Oversee and be responsible for budgetary expenditure, funding requests and fund raising activities. Keep an itemized account of all receipts and expenditures and make reports as directed Attend all required workshops and leadership trainings. Report directly to the President. Public Relations Officer shall: Work in conjunction with the secretary. Be responsible for addressing promotional needs of the organization. Article V Committees (this entire section is optional, if removed make sure to edit numbering) Section A: Committees [List committees germane to the club such as finance, publicity, membership, professional relations, social, etc. example below] A program committee composed of the Vice-President as chairperson and four other members shall be appointed by the President before the end of spring semester, whose duty shall be to plan the overall program of the club. Section B: Ad-hoc Committees The President shall have the authority to appoint any temporary or special committees, with the approval of the Executive Committee, from time to time as need demands. Article VI Advisor The Advisor shall be a member of the full-time faculty or a full-time professional employee of app. The Advisor shall be voted in by a two-thirds (2/3) majority of the voting members at a regularly scheduled meeting. Article VII Removal of Executive Officer and Advisor Any officer or advisor can be removed by a two-thirds (2/3) majority vote of the membership present at two consecutive meetings. Article VIII Vacancies/Special Elections In the event of a vacancy in the office of the President, the Vice President will automatically assume the office of the President. All other vacancies shall be filled temporarily by majority vote of the membership upon recommendation of the executive board until a special election can be held. Article IX Resignation of Officers Any officer wishing to resign his/her office must notify general members at a regularly scheduled meeting and should give two weeks notice before the resignation takes effect. Article X Meetings Section A: Types of Meetings Regular Meetings Regular meetings shall be held at least monthly during the regular school year. Special Meeting Special meetings may be called by the President with the approval of the Executive Committee. Section B: Meeting Rules Quorum A quorum shall consist of (example: 50% plus one) of the voting membership. [The number required should be small enough to ensure that a quorum will usually be present but large enough to protect the club against decisions being made by a small minority.] Parliamentary Authority Roberts Rules of Orders, shall govern this club in all cases to which they are applicable and in which they are not inconsistent with the constitution or any bylaws of (Shortened name of organization). Article XI Elections Nominations shall be opened at a well-publicized, regularly scheduled meeting and run for at least two meetings. The elections shall be held at a well-publicized, regularly scheduled meeting one week after the closing of nominations. The candidate with the plurality of the vote shall be declared the winner. Each year elections will be held before April 15th for the following year. New officers will take office on June 1st. Article XII Amendments Any members of (Shortened name of organization) may sponsor an amendment to this constitution. The amendment must pass the organizations membership by a two-thirds (2/3) majority vote of the members present. The proposed amendment shall then be brought to the Student Development office for approval. If approved a fully amended copy must be put on file with the office of Student Development.
